InstaDataHelp AI Services Private Limited · Version 1.0 · Effective 19 October 2026

This policy explains what personal data InstaDataHelp collects, why, who it is shared with, and the rights you have over it. It covers this website, our products and our services. Where a product handles health information, a separate and more detailed notice applies — see Health data and InstaPraxis below.

1. Who we are

Under the Digital Personal Data Protection Act, 2023 (“DPDP Act”) we are the Data Fiduciary for the personal data described here. You are the Data Principal.

2. What this policy covers

  • instadatahelp.com and its subdomains.
  • Our products, including InstaPraxis, InstaDataTalk, InstaDataAssess, InstaDataInterview, InstaStudio, InstaRoute, InstaLeads AI, Vital Scan, VisSense, AcePitch, MedXpert and PharmaPro Edge.
  • Our services — generative AI, computer vision, data and analytics, consultancy and training.

Where we build or host a system for a client, that client is usually the Data Fiduciary for the data inside it and we act as their Data Processor under contract. In that case the client’s own privacy notice governs, and we process data only on their instructions.

3. What we collect

3.1 When you visit this website

  • Analytics data — pages viewed, time on page, approximate location (city level), referring site, device and browser type. Collected using Google Analytics 4 (measurement ID G-T1R12X9NL0) and WordPress.com / Jetpack Stats.
  • Advertising data — this site displays advertising through Google AdSense (publisher ID ca-pub-6730373402422218). Google and its partners may set cookies to select and measure ads. We do not receive your identity from Google.
  • Live chat — we use Tawk.to. If you open the chat, Tawk.to stores your messages and a visitor identifier, and we see your conversation.
  • Server logs — IP address, request time and the resource requested, retained for security.

3.2 When you contact us

Our enquiry form collects your name, email address, phone number, company or clinic name, subject and message. We use these to reply, to prepare a proposal, and to keep a record of the conversation.

3.3 When you become a customer

Contract and commercial details, the names and business contact details of your staff, billing and GST details, payment records, support tickets, and the configuration of the systems we run for you.

3.4 When you use our products

Each product collects what it needs to work. In particular:

  • InstaDataTalk / InstaDataAssess / InstaDataInterview may process video, audio, recordings, transcripts, identity-verification images and proctoring events where the organiser has switched those features on. The organisation running the session decides what is recorded and for how long.
  • InstaLeads AI (browser extension) extracts publicly listed business information — business name, phone, website, rating and, where you ask it to, publicly available email and WhatsApp numbers — at your instruction, into your own workspace. We do not build a central database of those leads and we do not sell them. You are responsible for using extracted contacts lawfully, including under India’s unsolicited-communication rules.
  • InstaPraxis processes health information. See section 8.

3.5 When you apply for a job with us

Your CV and the details in it, for as long as the role is open and for up to one year afterwards unless you ask us to delete it sooner.

4. Why we use it, and on what basis

Purpose Basis under the DPDP Act
Replying to your enquiry and providing a proposal Your consent when you submit the form
Delivering a product or service you have bought Performance of our contract with you
Invoicing, accounting, GST and statutory records Legal obligation
Keeping our sites and systems secure Legitimate use
Understanding how the website is used, in aggregate Your consent (you can block analytics cookies — see section 9)
Showing advertising on this website Your consent (you can manage ad personalisation in your Google account)
Sending you product updates, where you have asked for them Your consent, withdrawable at any time

We do not sell personal data, and we do not use health information for advertising.

5. Who we share it with

  • Google — Analytics and AdSense, as described above.
  • Tawk.to — live chat.
  • Automattic (WordPress.com / Jetpack) — site statistics and site infrastructure.
  • Hosting, email and payment providers — to run our sites, send mail and collect payment.
  • AI model providers — some of our products and internal tools send text to third-party large-language-model providers to generate summaries, drafts or answers. Those providers may process that text on servers outside India. We do not send them account passwords, and in our healthcare product we do not send them images, audio or patient identifiers.
  • Professional advisers and authorities — where the law requires it, or to establish or defend a legal claim.

Some of these providers are located outside India, so your data may be transferred and processed abroad. We rely on contractual terms with those providers and transfer only what the purpose requires.

6. How long we keep it

Data Retention
Website analytics 14 months (Google Analytics default)
Enquiry and chat records 24 months from the last contact
Customer contract, invoicing and GST records 8 years, as tax law requires
Product data we hold as a processor As instructed by the client, and deleted or returned at the end of the engagement
Job applications Up to 12 months after the role closes
Server and security logs Up to 24 months

7. Your rights

Under the DPDP Act you may ask us to:

  • give you a copy of your personal data and a summary of how it is processed;
  • correct or complete anything inaccurate;
  • erase data we no longer need, or that you gave us by consent;
  • withdraw consent at any time, after which we stop the processing that relied on it;
  • nominate someone to exercise these rights on your behalf.

Write to sampa@instadatahelp.com or info@instadatahelp.com with “Data request” in the subject. We respond within 30 days. If you are not satisfied, you may complain to the Data Protection Board of India.

8. Health data and InstaPraxis

InstaPraxis is our healthcare platform. Health information — scan photographs, recordings, results, prescriptions and consultation notes — is governed by a separate, more detailed notice:

The AI health screenings in InstaPraxis are screening aids and decision-support. They are not a diagnosis and do not replace examination or testing by a registered medical practitioner. They are currently published for research use and are not registered as medical devices with the CDSCO.

9. Cookies

Cookie / technology Set by Purpose
_ga, _ga_T1R12X9NL0 Google Analytics Distinguishing visitors and measuring site usage
Google AdSense cookies Google Selecting and measuring advertisements
twk_uuid_*, twk_idm_key, TawkConnectionTime Tawk.to Running the live-chat widget and remembering a conversation
Jetpack / WordPress.com statistics Automattic Aggregate page-view statistics

You can delete or block cookies in your browser settings; the Google Analytics Opt-out Browser Add-on blocks analytics specifically, and ad personalisation can be turned off in your Google account. Blocking cookies does not stop you from using the site.

10. Children

Our website, products and services are intended for adults and for organisations. We do not knowingly collect personal data from a child under 18 through this website, and we do not run behavioural advertising or tracking directed at children. Where a product is used on behalf of a child — for example a parent using InstaPraxis for their child — consent is given and managed by the parent or legal guardian.

11. Security

We use HTTPS across our sites, store passwords only as one-way hashes, restrict access to production systems to the people who need it, log administrative actions, and keep our AI processing services on private interfaces that are not reachable from the public internet. No system is completely secure; if a breach affects your personal data we will notify you and the Data Protection Board as the DPDP Act requires.

13. Changes to this policy

We will post any change on this page and update the version and date at the top. Where a change materially affects how we use your data, we will ask for fresh consent if the law requires it.
